Clicking in Facility link will displayed the sub link under the Facility Setting and Manage Booking.


1.1. Facility Setting



Click on Facility Setting link to access Facility Setting page. The link also access to the Manage Facility Type setting. Manage facility type is used to create type of facility.


1.1.1. Facility Type


Click on Facility Type link in the settings also access user to the Manage Facility Type page.


Add New Facility Type




Click on Add New Facility Type link to access Add New Facility Type page in order to add new facility type.



To add new facility type, perform the following steps:

1. Enter facility type name

2. Enter description

Verify new facility type will appear in the list as shown in figure below.


Update Facility Type



Click Update link to access the update facility type page to update the facility type name and description.




Verify update facility type will be displayed in the list.


1.1.2. Facility



Click on Facility link to access Manage Facility page. Manage facility also can be access via clicking on the total facility in the Facility Type setting. The purpose of manage facility is to add facility based on the facility type created in the Manage Facility type.



Filter Facility





Click filter button to view the list of facility. Select facility type, campus, block, floor and status to narrow down the search. Verify record of facilites based on the preference selected will be appear in the list.



Add New Facility



Click on Add New Facility link to access Add New Facility page to add new facility. It is shown in the figure below.

To add new facility, the steps below should be taken:

1. Select facility type

2. Enter facility name

3. Select campus

4. Enter block

5. Enter floor

6. Enter capacity

7. Enter size (in square feet)

8. Enter dimension (30X80)

9. Select status (either active or inactive)

10. Enter equipment

11. Enter description

12. Enter remarks

13. Select first contact person

14. Enter first contact number

15. Select second contact person

16. Enter second contact number

17. Click Add button to save the record


Verify new facility will be added in the list.


Update Facility


Click on Update link to update all the information required in Add New Facility form. Verify update data will be displayed in the list.


1.1.3. Facility Approver




Click on Facility Approver to access Facility Approver page. The purpose of facility approver is to add approver to manage booking of user.






Here, user may filter approver by name or status which are active and inactive. The result will be shown in the list. To add new approver, user needs to click on the Add New Approver link to access Add New Approver page.



To add new approver, the user needs:

1. Select staff

2. Enter description

3. Select status (active or inactive)


1.2. Manage Booking




Click on Manage Booking link to access Manage Booking page. The purpose of manage booking is to book available facility.


1.2.1. Add New Booking




To add new booking, user may click on the Add New Booking link or click on the available time tile as shown above.


If user clicks on the available tile, it will directed to the Add New Booking of the specific facility. Here, the facility, start and end time will be auto generated.




To add new booking, perform the following steps:

1. Select facility

2. Select name

3. Choose time setting

4. Select start date and time

5. Select end date and time

6. Tick repeat checkbox (To repeat booking). Enter all information required in the Repeat form.





7. Enter description

8. Enter remarks

Upon clicking submit button, new booking will be display as unavailable as shown in figure.






1.2.2. Update Booking


Clicking on the tile will access user to the booking details.





To update facility booking, perform the following steps:

1. Choose update from the drop-down list

2. Click Go button

Upon clicking Go button, user will be directed to the Update Booking page.






Make amendment on the information required and verify update data will be updated in the list.



1.2.3. Delete Booking


Clicking on the tile will access user to the booking details





Choose delete function from the dropdown list and click Go button to delete the data permanently.


1.2.4. Approve Booking


Facility booking is a workflow process. Once user booked the available facility, an email notification will be sent to the approver to be approved or rejected. To approve the application, perform the following steps:




1. Click on the unavailable tile




2. Select Approve in the dropdown list

3. Click Go button

Once approved, status of the booking change from Pending Approval to Approved as shown in figure below.


1.2.5. Reject Booking


To reject booking made by the user, perform the same steps as 1.2.4. Approve Booking.
