There are three options to charge hostel rental to the student. The options are:
- Include hostel rental in the Program Fee Group
- Manually charge hostel rental using Hostel Bill feature
- Automatic hostel rental charge using Check In process (By Pro-rate)
However, in this article, we will only focus on the second and third option of hostel rental charge. The calculation of hostel rental for both options are different. The details are as below.
Standard Hostel Rental
In Hostel Bill feature, the standard hostel rental calculation is used.
Standard hostel rental calculation is based on the room type rate and the months student stays in the respected room.
Standard Hostel Rental = Room Type Rate x Months
Given example, student A choose to stay in Twin Sharing room for 4 months. The calculation works as below.
Room Type: Twin Sharing
Rate of Room: RM 450
Months to Stay: 4 months
Hostel Rental = RM 450 x 4 months
= RM 1800
System will issue the hostel rental bill with amount RM 1800.
Pro-Rate Hostel Rental
Pro-rate hostel rental calculation is basically used in the Check In process. During check in process, the hostel bill will be automatically issued to the student ledger.
The calculation is based on the room type rate and the duration of check in date until expected check out date.
Pro-Rate Hostel Rental = Room Type Rate x Duration of Check In & Expected Check Out Date
Given example, student B choose to stay in Twin Sharing room for specified duration below. The calculation works as below.
Room Type: Twin Sharing
Rate of Room: RM 450
Check In Date: 14 September 2016
Expected Check Out Date: 30 December 2016
Hostel Rental
September 2016
- Consists of 30 days
- 14 September - 30 September 2016 = 16 days
- RM 450/30 days = RM 15 per day
September Hostel Rental = RM 15 x 16 days
= RM 240
October 2016
- Whole month
- If whole month, the October Hostel Rental is equal to the room type rate
October Hostel Rental = RM 450
November 2016
- Whole month
- If whole month, the November Hostel Rental is equal to the room type rate
November Hostel Rental = RM 450
December 2016
- Consists of 31 days
- 1 December - 30 December 2016 = 29 days + 1 day = 30 days
- RM 450/31 days = RM 14.516 per day
December Hostel Rental = RM 14.516 x 30 days
= RM 435.48
Hostel Rental (14 September - 30 December 2016) = RM 240 + RM 450 + RM 450 + RM 435.48
= RM 1575.48
Please note that system will automatically issue credit note if student check out before the expected check out date.
